About the Firm:
A well-established and internationally recognized boutique law firm based in downtown Chicago is seeking a highly motivated Front Desk Assistant to provide exceptional reception support for clients and assist with the firm’s day-to-day administrative operations. The firm focuses on Business & Corporate Law, Trusts & Estates, and Taxation, serving family offices and privately held companies. This role is ideal for a professional who thrives in a polished, client-facing environment.
Key Responsibilities
Greet and sign in all clients and visitors in a professional manner
Answer and direct calls through a multi-line phone system
Maintain a neat, organized, and professional reception area
Forward incoming correspondence and voicemails
Mail documents via USPS, UPS, Certified Mail, FedEx, and messenger services
Scan, review, and edit documents and correspondence
Prepare and format general correspondence
Order and maintain office supplies
Enter billable time as needed
Prepare expense reports
Handle time-sensitive and confidential materials
Maintain kitchen supplies and general kitchen upkeep
Provide administrative support to Partners, Associates, and Paralegals as needed
Assist with additional tasks and projects as assigned
Requirements & Qualifications
Bachelor’s degree or equivalent experience required
Previous receptionist or customer service experience preferred
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Professional, courteous, and friendly demeanor
Strong communication, organizational, and time-management skills
Ability to multi-task and prioritize in a fast-paced environment
Dependable, punctual, and eager to learn new skills
Ability to work effectively in a team-oriented environment
Prior law firm experience is a plus
Compensation & Work Environment
Full-time, in-office position in downtown Chicago
