A well-established and growing commercial construction firm in the Cleveland area is confidentially seeking a Project Accountant & Documentation Specialist to join its team. This is a unique dual-role opportunity offering strong mentorship, a collaborative office environment, and a direct path for professional development within a respected organization.
This position blends project accounting and workflow documentation, working closely with leadership and operations to ensure accuracy, clarity, and consistency in how projects are managed from both a financial and administrative standpoint.
You'll begin by learning and supporting the project accounting function, including setting up jobs, tracking expenses, managing documentation, and coordinating with stakeholders. Over time, you'll also take ownership of documenting internal processes, helping improve onboarding, training, and workflow consistency across the team.
Note: You do not need a formal accounting background. Strong organization, communication, and attention to detail are far more important. Training and support will be provided.
Collaborate with Project Managers and Admins to properly set up new projects in the system (ComputerEase)
Assist in subcontractor onboarding and documentation (I-9s, COIs, waivers, HUD forms, etc.)
Review, track, and process subcontractor invoices and AIA draws
Coordinate monthly payables with internal stakeholders
Help prepare customer billing packets (draws) and ensure all required documents are included
Receive customer payments and manage lien waivers, affidavits, and final docs
Maintain detailed and organized job files
Partner with leadership to document roles, workflows, and processes
Update and maintain internal SOPs and onboarding materials
Support implementation of consistent procedures across office and field teams
Assist in developing a standardized onboarding process for new hires
2+ years in construction admin, project support, or accounting roles preferred (but not required)
Strong attention to detail and organizational skills
Ability to manage multiple tasks and deadlines in a fast-paced environment
Solid written communication skills for documentation work
