Front Desk Receptionist

Location: Naples, FL
Position Type: Full-Time | In-Office

Position Summary

We are seeking a professional, service-oriented Front Desk Receptionist to join our Naples office. This role is essential to delivering an exceptional client experience and ensuring the smooth daily operations of our firm. The ideal candidate will demonstrate professionalism, strong communication skills, attention to detail, and the ability to multitask in a fast-paced legal environment.

This position serves as the first point of contact for clients, visitors, attorneys, and staff.

Essential Responsibilities

Client Services

  • Professionally greet clients and visitors, confirm appointments, and escort guests to conference rooms
  • Offer beverages and ensure a welcoming, polished experience
  • Prepare conference rooms for meetings, mediations, and depositions
  • Notify attorneys and legal assistants upon client arrival

Conference Room Coordination

  • Open and prepare conference rooms daily
  • Maintain cleanliness and organization between meetings
  • Reset furniture and materials following meetings
  • Connect and assist with video conference technology as needed
  • Manage and maintain the conference room scheduling system

Telephone & Administrative Support

  • Answer and route incoming calls professionally
  • Conduct consultative transfers to attorneys
  • Maintain and update the office telephone directory
  • Respond to conference room scheduling requests and resolve conflicts

Accounting Support

  • Assist with operating and trust account deposits
  • Scan and verify client checks
  • Reconcile deposit and wire activity
  • Process filing fees and validate client matter entries

Qualifications

  • Bachelor’s degree OR minimum of 2 years of related experience (law firm experience preferred)
  • Strong client service and interpersonal skills
  • Excellent written and verbal communication abilities
  • Proficiency in Microsoft Office and general office technology
  • Strong organizational and multitasking skills
  • Basic mathematical skills (addition, subtraction, percentages, ratios)
  • Ability to handle physical tasks such as setting up conference rooms and catering when needed
