Job Description

A prestigious, full-service Pittsburgh law firm with over 50 years of experience is seeking a high-level Legal Secretary/Assistant to support their thriving Commercial Real Estate and Business Transactions practice. This role is ideal for a proactive professional who enjoys the "move-the-needle" nature of deal work and thrives in a fast-paced, detail-oriented environment.

You will act as a true partner to multiple attorneys, ensuring that complex transactions and closings move forward with precision and speed.

Core Responsibilities

  • Transactional Mastery: Draft, format, and proofread commercial leases, purchase & sale agreements, amendments, and estoppels/SNDAs.

  • Closing Coordination: Lead the closing process by maintaining checklists, tracking deliverables, circulating signature packets, coordinating notarizations, and compiling final closing binders.

  • Attorney Support: Proactively track matter status, manage complex calendars, and stay ahead of critical deadlines.

  • Litigation & Filing: Prepare and process state and federal court filings (including e-filing); assist with trial prep, briefs, and the generation of Tables of Authorities/Contents.

  • Administrative Excellence: Transcribe dictation, coordinate depositions and court reporters, and serve as a professional liaison between clients and outside agencies.

Requirements

  • Experience: 3+ years of recent legal secretarial experience in a law firm. Specific experience in Commercial Real Estate (closings, title/survey, recording) or Business Transactions is highly preferred.

  • Technical Skills: Expert-level proficiency in Microsoft 365 (Word, Excel, Teams, Outlook). Typing speed of 65+ wpm is preferred.

  • Regulatory Knowledge: Strong command of legal terminology, court rules, and filing procedures (State & Federal).

  • Soft Skills: Exceptional discretion with confidential data, a client-service mindset, and the ability to multitask under tight deadlines.

  • Reliability: Strong track record of punctuality and attendance.
