Horticulture Operations Assistant

GPAC has partnered with a North San Diego County family owned and operated wholesale outdoor nursery that is looking for an Operations Assistant. This position will start on a part-time schedule working approximately 24 to 30 hours a week and become full-time as the season starts to slow down.

The Operations Assistant provides essential administrative and organizational support to both the Production and Procurement departments, as well as the sales and inventory operations. This role is responsible for managing paperwork, filing, data entry, and assisting with daily operational tasks. The ideal candidate is detail-oriented with the ability to utilize critical thinking and analytics to perform the duties and operational tasks required. The candidate should be willing to work in a fast-paced, comfortable and collaborative working environment.  The position requires sharing time in the field as well performing operational admin duties in the office.        

Key Responsibilities:

  • Creating accurate and organized Bed Labels for inventory items.
  • Ensuring proper data entry for on-ground Crop placement and generating necessary reports for management.
  • Maintaining weekly inventory cycle count sheets and assist in reconciling variances. 
  • Conducting Mid-Year and Year-End Inventory assessments.
  • Assisting in Data Entry to maintain product information for final product creation and sales.
  • Preparing loading and shipping documents, including box labels and UPC stickers for shipments and customer pick-ups.
  • Collaborating with the purchasing team to process orders and maintain up-to-date inventory records.
  • Receiving products in the system through data entry and scanning, while also photographing and cataloging Value-Added items received.
  • Generating reports for inventory counting purposes and accurately inputting data into the system and spreadsheets.
  • Entering Value Added items into Customer Order Sheets and verifying customer order data in the spreadsheet.
  • Ability to communicate with cross-functional teams
  • Demonstrating self-management skills to prioritize and complete work assignments efficiently.

Key Qualifications:

  • 2+ years of experience or an associate’s degree.
  • Bilingual in English and Spanish.
  • Proven experience as an Operations Assistant or in a similar role.
  • Willing to work some overtime when needed. (May require some Saturdays)
  • Strong organizational skills and ability to manage multiple projects simultaneously.
  • Ability to work collaboratively in a cross-functional team environment.
  • Excellent written and verbal communication skills, with a eye for detail.
  • Experience working in a high-volume seasonal environment.
  • Proficiency in Microsoft Office Suite.
  • Familiarity with data entry procedures and best practices.
  • Experience supporting B2B distribution within the industry preferred.
  • Must currently reside in Southern California and have a valid U.S. driving license.
