Job Description

A very reputable MEP Engineering firm is hiring for a Project Coordinator that will work hand in hand with the mechanical engineers and act as their support staff. Must be detail and customer service oriented with excellent organizational skills.  Position requires a high level of correspondence & communication with PM team, Service team, customers and vendors. Must be strong in Microsoft applications and be able to work well with others in a fast-paced and high volume environment.   

PROJECT COORDINATOR:

  • Essential Job Functions                                                                                                                                                                                                                                 

    • Tracks ship dates and assists with communication to customers regarding shipping updates.
    • Logs project information into CRM database.
    • Communicates efficiently and effectively with other team members concerning project management process.
    • Communicates with Service team coordinators procuring project information/status, site contacts, startup dates, etc.
    • Complete tasks as assigned in Project Management Coordinator dashboard.
    • Manages receipt of and distribution of current installation operation and maintenance manuals (IOMs) to customers.
    • Assists with distribution and receipt of equipment submittals.
    • Updating and maintaining project folders.
    • Responsible for administrative functions to support the equipment fulfillment process (Job Information , Start-Up Contacts, etc.)
    • Order entry as assigned. (CRM database, Quickbooks, 3rd Party Vendors)
    • Responsible for generating, interpreting and printing various assigned reports.
    • Flexibility to work overtime/weekends, as required.

    Requirements

    • Administrative Assistance experience
    • Exceptional customer service and communication skills.
    • Strong PC skills in Microsoft Word, Excel, and Outlook
    • HVAC, Mechanical Contracting, Engineering or Construction industry experience a plus.
    • Ability to work independently & as part of a team.
