We are seeking a detail-oriented Billing Specialist to support billing operations for a fast-paced waste and recycling services company. This role is responsible for preparing accurate customer invoices, managing account data, resolving billing discrepancies, and ensuring timely revenue processing across commercial, industrial, and municipal accounts.
The ideal candidate has strong analytical skills, experience with high-volume billing, and the ability to collaborate with operations, dispatch, and customer service teams in a service-driven environment.
Key Responsibilities Billing & Invoice Processing
- Prepare and issue accurate customer invoices for waste collection, recycling, and container services (roll-off, front-load, residential, etc.)
- Review route sheets, driver logs, and service tickets to ensure billing accuracy
- Apply correct pricing structures, contract terms, fuel surcharges, and landfill/tipping fees
- Process billing adjustments, credits, and corrections as needed
Account & Data Management
- Maintain customer accounts in billing/ERP systems
- Update service changes including new starts, cancellations, container swaps, and extra pickups
- Reconcile billing data against operational records and contracts
Customer & Internal Support
- Respond to billing inquiries from customers and internal departments
- Investigate and resolve billing discrepancies in coordination with operations and sales teams
- Support collections and accounts receivable follow-up when needed
Reporting & Month-End Support
- Assist with month-end closing activities and revenue reconciliation
- Generate billing summaries, aging reports, and account audits
- Ensure compliance with contract billing requirements and municipal agreements
Required Qualifications
- 1–3+ years of billing, accounts receivable, or accounting experience
- Strong attention to detail and accuracy in high-volume environments
- Proficiency in Excel and billing or ERP systems
- Excellent communication and problem-solving skills
- Ability to manage multiple priorities and meet deadlines
Preferred Experience (Waste Industry a Plus)
- Experience with waste, recycling, logistics, or route-based services
- Familiarity with commercial vs. residential billing structures
- Understanding of landfill fees, recycling commodities, or municipal contracts
- Experience with systems such as Oracle, SAP, or industry-specific billing platforms
Work Environment
- Office-based role with collaboration across dispatch, operations, and customer service
- Fast-paced monthly billing cycles with peak activity during month-end close
