Job Title: Legal Assistant

About Us: GPAC has partnered with a law firm in the Como area. They are seeking a Legal Assistant to join the team. This position will work closely with attorneys, associates, and paralegals on the full administrative duties.

Responsibilities include but are not limited to:

  • Support attorneys and paralegals on administrative items including receiving and opening mail.  Distributing the mail to the appropriate attorneys and paralegals.
  • Transcription of dictation for some attorneys for correspondence including letters to clients, engagement letters, and memos to clients and client files.
  • Draft discovery in addition to pleadings.
  • Complete monthly expense reports and credit card statements, scanning, and printing documents.
  • Maintain electronic and physical client files.
  • Maintain attorney’s calendars by setting appointments, coordinating schedules, and setting up meetings, pleadings, electronic filing.
  • Answer phones and communicating with courts and prothonotaries.
  • Draft and review legal correspondence.  Proofread, correct grammar, spelling, punctuation, and formatting.
  • Format briefs and pleadings.  Create an automated table of contents.
  • Finalize all forms of documents, correspondence, pleadings, and reports.
  • File pleadings in state and federal court (both electronic and mailing).
  • Perform conflicts checks and other administrative tasks necessary for the creation of new client or matter files.
  • Ability to redact, add legends and bates labels to documents in preparation for production.
  • Enter attorney’s billable time.
  • Request checks and paying invoices.

Candidate Qualifications

  • High school or equivalent
  • Three (3) or more years of experience as a Legal Assistant or related experience
  • Experience using PACER to search dockets, party information, and download pleadings.
  • Experience with state filings and familiarity with various county and prothonotary websites.
  • Excellent communication skills
  • Solid writing and editing skills with a focus on developing thoughtful and persuasive messaging
  • Ability to work in and adapt to a fast-paced work environment
  • Strong organizational, time management, and project management mindset
  • Experience with Microsoft Office Outlook, Excel, Word, and other software
  • Experience with PDFdocs or Adobe
  • Driven self-starter with a proactive approach to supporting counsel
  • Commitment to professionalism, cooperation, and teamwork

Beneficial Qualifications

  • Experience with iManage document management system
  • Experience filing court documents, electronically preferred
  • Experience with ECF for federal court filings a plus
  • Experience with Zoom, Microsoft Teams, or other conferencing platforms
  • Active Notary license
