Job Summary: The Accounts Receivable Clerk with AR AIA Reporting is responsible for overseeing and managing the company's accounts receivable process, ensuring timely and accurate billing and collections of outstanding payments. The role also requires preparation and analysis of AIA (American Institute of Architects) billing reports to support the organization's revenue cycle, particularly in construction or project-based industries. This position ensures the smooth flow of accounts receivable and provides essential financial reporting related to ongoing projects.

Key Responsibilities:

  • Accounts Receivable Management:
    • Process and manage accounts receivable transactions including invoicing, payment posting, and account reconciliations.
    • Monitor customer accounts for outstanding balances, ensuring accurate and timely collections.
    • Handle incoming customer queries related to invoices, payments, and account balances.
    • Track and follow up on overdue payments and initiate collection actions as needed.
  • AIA Billing & Reporting:
    • Prepare and submit AIA (American Institute of Architects) billing for construction projects, ensuring compliance with contractual terms and project timelines.
    • Prepare monthly AIA billing reports for internal and external stakeholders.
    • Ensure that AIA billing reflects the accurate percentage of completion for each project and aligns with the project schedule.
    • Track and report on project-specific billing cycles, including progress billing, retention, and final payment.
  • Reporting & Documentation:
    • Generate and distribute AR aging reports and reconciliation statements on a regular basis.
    • Provide detailed reporting on the status of accounts receivable and assist with the preparation of financial statements.
    • Assist with month-end close and year-end audits by providing necessary reports and documentation.
  • Collaboration and Communication:
    • Work closely with project managers, finance teams, and external clients to ensure smooth billing processes.
    • Address any discrepancies or disputes in a timely manner to maintain good client relationships.
  • Compliance & Best Practices:
    • Maintain compliance with accounting policies, industry regulations, and company standards in all AR activities.
    • Continuously review and improve accounts receivable processes to streamline operations and improve cash flow.

Qualifications:

  • Education:
    • High School Diploma or equivalent required; Associate’s degree or higher in Accounting, Finance, or related field preferred.
  • Experience:
    • At least 2-3 years of experience in accounts receivable or finance, preferably in the construction or project-based industry.
    • Experience with AIA billing and reporting processes is highly preferred.
  • Skills:
    • Proficiency in accounting software (e.g., QuickBooks, Microsoft Dynamics, etc.) and MS Excel.
    • Strong attention to detail, organizational skills, and the ability to manage multiple tasks.
    • MUST HAVE Knowledge of AIA contract billing and construction accounting processes, union reports and waivers.
    • Strong written and verbal communication skills.
    • Ability to analyze financial data and generate accurate reports.

Physical Requirements:

  • Ability to sit at a desk for long periods and use office equipment such as computers, phones, and printers.
  • Occasional lifting of up to 15 pounds of office supplies or files.
