Project Coordinator – Restoration

Location: Arizona (Phoenix Metro or surrounding areas) Employment Type: Full-Time

About the Role

We are seeking a highly organized and customer-focused Project Coordinator to support the execution of residential and commercial restoration projects. This role plays a critical part in ensuring projects run smoothly from intake to completion by coordinating schedules, managing documentation, and maintaining clear communication between clients, crews, and insurance partners.

Key Responsibilities

Project Coordination

  • Support Project Managers in planning, scheduling, and executing restoration projects
  • Track job progress, milestones, and timelines to ensure on-time completion
  • Coordinate crews, subcontractors, vendors, and material deliveries

Client Communication

  • Serve as a point of contact for homeowners, adjusters, and internal teams
  • Provide regular updates on job status, timelines, and next steps
  • Deliver a high level of customer service throughout the restoration process

Documentation & Job File Management

  • Maintain accurate and up-to-date job files, notes, and reports
  • Assist with estimates, change orders, and project documentation
  • Ensure all files are audit-ready and compliant with company standards

Scheduling & Logistics

  • Schedule inspections, mitigation work, reconstruction, and deliveries
  • Coordinate equipment, materials, and subcontractor availability

Administrative & Financial Support

  • Assist with invoicing, billing, and collections
  • Track project costs and support budget oversight
  • Help prepare reports and close-out documentation

Qualifications

Required

  • 2+ years of experience in an administrative, coordination, or construction-related role
  • Strong organizational and time management skills
  • Excellent communication and customer service abilities
  • Ability to manage multiple projects simultaneously

Preferred

  • Experience in restoration, construction, or insurance claims
  • Familiarity with Xactimate, CRM, or job management software (e.g., JobNimbus, Dash)
  • Understanding of mitigation and reconstruction processes
