Job Description

As a rapidly growing regional signage company we are looking to add a Signage Operations Administrator to our talented team.  The Signage Operations Administrator manages the administrative, logistical, and workflow processes while working hand in hand with our design, fabrication, and install teams. This position would be the central point of contact between clients, sales teams, and production staff to ensure projects are delivered on time, within budget, and according to specifications.

Signage Operations Administrator Core Duties and Responsibilities:

  • Project Coordination: Tracks projects from the pre-sales stage through to installation, including coordinating schedules and managing deadlines.
  • Signage Logistics & Scheduling: Oversees the production, storage, and installation schedules for signs.
  • Administrative Support: Maintains databases, processes work orders, prepares invoices, and manages inventory of sign-making materials (vinyl, metals, substrates).
  • Customer & Vendor Relations: Handles client inquiries and acts as a liaison with vendors for materials and equipment.
  • Document Control: Prepares and reviews signage proposals, permits, proofs, and shop drawings.
  • System Maintenance: Manages internal software systems, such as ERP or CMS (content management systems) for digital signage.

Signage Operations Administrator Required Skills and Qualifications:

  • Experience: Previous experience in sign manufacturing, construction administration, warehousing or project management is highly preferred.
  • Technical Proficiency: Knowledge of Microsoft Office Suite, inventory management software, and ERP systems.
  • Industry Knowledge: Familiarity with sign-making materials, fabrication processes, and permitting regulations.
  • Organization and Communication: Strong ability to manage multiple projects simultaneously, with high attention to detail.
