Project Accounting/Coordinator
Position Summary
We are seeking a detail-oriented and highly organized Project Accountant to join our growing team. The Project Accountant will be responsible for managing the financial aspects of multiple construction projects, ensuring accurate job costing, billing, contract administration, and financial reporting throughout the project lifecycle.
This role works closely with Project Managers, Operations, Estimating, and Accounting teams to monitor project performance, maintain financial controls, and support successful project execution.
Key Responsibilities
Project Financial Management
- Maintain accurate project budgets and cost tracking.
- Monitor project costs, commitments, and change orders.
- Review and analyze job cost reports for accuracy and completeness.
- Assist Project Managers with forecasting and financial projections.
- Track labor, materials, subcontractor costs, and equipment expenses.
- Prepare and maintain Work-in-Progress (WIP) reports.
Billing & Accounts Receivable
- Prepare and submit progress billings, AIA billings, time and material billings, and other customer invoicing.
- Ensure invoices are submitted accurately and on schedule.
- Track payment status and assist with collections as needed.
- Reconcile customer payments and outstanding receivables.
Contract & Change Order Administration
- Review contracts for billing requirements and compliance.
- Process change orders and maintain accurate project documentation.
- Monitor contract values and project profitability.
- Maintain records of project commitments and revisions.
Accounts Payable & Subcontract Management
- Review and process subcontractor and vendor invoices.
- Verify invoices against contracts, purchase orders, and project budgets.
- Track lien waivers, certificates of insurance, and subcontract compliance documentation.
- Assist with subcontractor payment processing.
Reporting & Compliance
- Prepare monthly financial reports for project teams and leadership.
- Assist with month-end and year-end closing activities.
- Support internal and external audits.
- Ensure compliance with company policies, accounting standards, and contractual requirements.
- Analyze project financial performance and identify potential cost overruns or budget concerns.

Qualifications
- Bachelor's Degree in Accounting, Finance, Business Administration, or related field preferred OR Field-related experience
- 3+ years of accounting experience, preferably within construction, mechanical, HVAC, plumbing, fire protection, or specialty contracting industries.
- Strong understanding of construction accounting principles and job costing.
- Experience with AIA billing and construction contracts preferred.
- Knowledge of WIP reporting and percentage-of-completion accounting.
- Proficiency in Microsoft Excel and accounting software.
