Job Description

Law Firm Receptionist – San Diego 

A well established mid-size law office is seeking a Receptionist to be the first point of contact for clients, visitors, and callers. This role is perfect for someone who enjoys greeting people, maintaining a welcoming environment, and keeping the front office organized and running smoothly. The ideal candidate will have excellent communication skills, a polished phone manner, and the ability to multitask effectively in a busy environment. Prior law firm experience is preferred. This is a fully in-office position. 

Key Responsibilities

  • Operate and manage a multi-line phone system, directing calls promptly and professionally
  • Welcome clients and visitors, ensuring a positive and professional first impression
  • Assist attorneys, paralegals, and management with administrative tasks
  • Maintain the front office area and ensure smooth daily operations
  • Order and manage office supplies
  • Sort and distribute incoming mail, and prepare outgoing correspondence
  • Scan, photocopy, fax, and file documents
  • Update and maintain office databases and records
  • Perform additional administrative duties as needed

Qualifications

  • 2+ years of receptionist or administrative office experience required; law firm experience preferred
  • Excellent phone etiquette and interpersonal skills
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
  • Strong attention to detail, spelling, and grammar
  • Experience with multi-line telephone systems (GoTo system experience a plus)
  • Highly organized and able to manage multiple tasks efficiently
  • Team-oriented with a strong work ethic and willingness to learn new skills
