Commercial Foreclosure Legal Assistant

JOB DESCRIPTION

We are seeking a Legal Assistant to join the Bankruptcy & Restructuring practice group. This position will work closely with associates, shareholders, and paralegals on the full spectrum of foreclosure administrative support. Some of the key anticipated responsibilities are listed below:

  • Support attorneys and paralegals on administrative items including receiving and opening mail.  Distribute the mail to the appropriate attorney.
  • Transcription of dictation for some attorneys for correspondence including letters to clients and engagement letters.
  • Conduct referral reviews.
  • E-file documents in federal and state court systems.
  • Document redactions and exhibits to pleadings.
  • Assist with inheritance tax and monitoring.
  • Assist with the process for Quiet Title Actions (QTA) and monitoring the filing progress.
  • Send drafted letters to each party with interest in the estate in question.
  • Research properties on county assessment sites for information on building structure to include in the filings.
  • Create a certificate of mail that lists all the interested parties that is attached as an exhibit sent to the Prothonotary and Sherriff.
  • Assist with MVN’s, required validation notices sent out via certified mailing.
  • Follow the listing of documents each county requires in their sale packets to create packet that is sent prior to sale date.
  • Creates FedEx labels, includes self-addressed stamped envelopes, and requests checks for Sheriff sales.
  • Draft short pleadings including dismissals and vacates to file with the court at the end of certain actions.
  • At the end of each case review the documentation and draft a chronology report that details what occurred throughout each step of the process.  These will be filed within the document management system for client review.
  • Complete monthly expense reports and credit card statements, scanning, and printing documents.
  • Maintain electronic and physical client files.
  • Maintain attorney’s calendars by setting appointments, coordinating schedules, and setting up meetings, pleadings, electronic filing.
  • Answer phones and communicating with courts and prothonotaries.
  • Enter attorney’s billable time.
  • Assist the legal support team with coverage for receptionist or other legal assistants.

REQUIRED QUALIFICATIONS

  • High school or equivalent
  • Three (3) or more years of experience as a Legal Assistant or related experience
  • Experience using PACER to search dockets, party information, and download pleadings.
  • Experience with CaseMax platform or a similar case management platform
  • Experience with state filings and familiarity with various county and prothonotary websites.
  • Excellent communication skills
  • Solid writing and editing skills 
  • Ability to work in and adapt to a fast-paced work environment
  • Experience with Microsoft Office Outlook, Excel, Word, and other software
  • Commitment to professionalism, cooperation, and teamwork

BENEFICIAL QUALIFICATIONS

  • Experience with iManage document management system
  • Experience filing court documents, electronically preferred
  • Experience with ECF for federal court filings a plus
  • Paralegal certificate
  • Active Notary license
