We are seeking an experienced Trust, Estate & Probate Paralegal/Legal Assistant to join our Estates & Trusts Practice Group. This role is ideal for a detail-oriented, organized professional who thrives in a fast-paced environment and understands the importance of accurate billing.

The successful candidate must be able to bill hourly and log portions of hours worked with precision while supporting attorneys in estate planning, probate, and trust administration matters.

Key Responsibilities

  • Support Estates & Trusts attorneys with estate planning, probate administration, and trust administration.
  • Research applicable law, investigate facts, and prepare legal documents.
  • Draft, organize, and manage probate court filings and trust/estate accountings.
  • Prepare correspondence, maintain case files, and manage deadlines.
  • Interact with clients, trustees, beneficiaries, and court personnel in a professional manner.
  • Accurately track and bill time for all tasks performed.
  • Assist in organizing and maintaining large volumes of data (hardcopy and electronic).
  • Provide support with estate administration, accounting, and tax preparation software.
  • Handle additional duties as assigned to support the practice group.

Qualifications

  • Bachelor’s or Associate’s Degree required, or Paralegal Certificate with equivalent experience.
  • 5–8 years of Estates & Trusts experience (probate, trust administration, estate planning).
  • Strong knowledge of: Florida estate & trust law, Probate administration processes and Probate Court rules, Trustee and personal representative obligations & Trust and estate accounting concepts (principal & income)
  • Must be experienced in timekeeping and billing hourly for work performed.
  • Excellent communication, drafting, and organizational skills.
  • Ability to manage multiple deadlines and work effectively under pressure.
  • High level of professionalism, discretion, and client service.
  • Strong computer skills, including Microsoft Office Suite, PDF tools, document management systems, and timekeeping software (Elite or similar).
  • Ability to work independently while also being a strong team player.
  • Ability to lift up to 25 lbs. and transport files as needed.
  • Willingness to work overtime and occasional travel if required.

Salary commensurate with candidate experience and other job-related factors permitted by law.
