Job Description

Job Title: Executive Assistant – Construction Industry

Overview:
We are seeking a highly organized and proactive Executive Assistant with construction industry experience to support our leadership team. This is a full-time role responsible for managing daily administrative functions, coordinating communication, and assisting with marketing, HR, and general operational tasks. The ideal candidate thrives in a fast-paced environment, can take quick direction, and is comfortable working with strong personalities—especially busy, head-strong Project Managers.

Responsibilities:

  • Provide executive-level administrative support to leadership

  • Field and manage incoming calls, emails, and communication

  • Prepare reports, correspondence, and meeting materials

  • Assist with basic marketing tasks, social media updates, and proposals

  • Support HR with onboarding, maintaining files, and general administrative duties

  • Coordinate schedules, meetings, and travel arrangements

  • Maintain organization across executive priorities and deadlines

  • Interface professionally with internal teams, clients, vendors, and project managers

  • Handle general busy-work, follow-up tasks, and day-to-day office support as needed

Qualifications:

  • Prior experience working in the construction industry is required

  • Strong administrative and organizational skills

  • Ability to take quick direction and adapt on the fly

  • Comfortable dealing with assertive, fast-paced project teams

  • Excellent verbal and written communication

  • Proficient in Microsoft Office (Word, Excel, Outlook)

  • Ability to multitask and prioritize effectively

  • Professional demeanor and strong attention to detail
