Position Overview

We are seeking a highly capable Office Administrator with 5-10 years of experience in construction or a similar field. The Office Administrator will support field and office teams, handle light accounting and administrative duties, and ensure smooth operations across departments. This is a multifaceted role where the Office Administrator will wear multiple hats and make a meaningful impact day-to-day.


Responsibilities

  • The Office Administrator will manage general office functions: ordering supplies, coordinating with vendors, organizing physical and electronic files, and helping maintain a professional workspace.

  • As Office Administrator, you will assist project teams by preparing, tracking, and archiving project documentation: submittals, change orders, RFIs, contracts and compliance paperwork.

  • Process invoices, help with accounts payable/receivable, track job costs, and provide support for financial reconciliation and forecasting.

  • The Office Administrator will support onboarding: prepare orientation, collect required documents, set up access, and ensure new team members have what they need.

  • Facilitate communication and coordination between Project Managers, Superintendents, accounting/finance, subcontractors, and vendors.

  • Assist with project close-outs: gathering manuals, warranties, punch lists, and ensuring client deliverables are met.

  • Identify process improvements to make operations more efficient; the Office Administrator will sometimes take on ad hoc administrative or operational projects.


Qualifications & Skills

  • Experience: 5-10 years in an administrative or operations role; experience in commercial construction is strongly preferred.

  • Education: High school diploma required; Associate’s or Bachelor’s degree in Business, Construction Management, Accounting, or related field is a plus.

  • Strong organizational skills, attention to detail, able to manage multiple tasks/priorities.

  • Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable with learning or using construction software / project management tools.

  • Basic accounting knowledge: invoice processing, vendor/subcontractor documentation, job costing, expense tracking.

  • Excellent written and verbal communication; ability to interface with both field and office personnel.

  • Dependable, proactive, good problem-solving skills, confidentiality, integrity.
